What happens to the documents you send

Bid work means sending us documents you would not send to a stranger. This page says what is done with them, what is never done with them, and how to get them back out.

Where they sit, who sees them, and for how long

Where they are

Your enquiry and every file you send sit in a database and a private file store in Ireland, run by a hosting provider under its own data processing terms. Nothing goes outside the UK and the EEA.

Who can see them, and how AI is used

Theo Ilori is accountable for every word, and he reads everything before it leaves. AI tools draft and check under his hand, and never learn from your material. If a funder asks for an AI-use statement, you get an accurate one.

How long they are kept

Material from a piece of work is kept for 90 days after the work ends, and then deleted. Sooner if you ask.

What your board can hold us to

A signed confidentiality and data handling agreement is available before you send anything. Ask in the note.

The rules your material is held under

These four hold for every document you send, from the first enquiry to the end of a piece of work.

  • It's used for your bid only, and your evidence is never reused in another organisation's application.
  • It's not used to train anything, so no model is trained or fine tuned on your material.
  • It's deleted on request, subject only to what we're obliged to retain.
  • You own the output, and everything we produce for you is yours on delivery.

Who presses submit

You do. We hold none of your portal logins, and nothing is ever filed with a funder or a buyer in your name.

The document goes back to you. You check it. You submit it yourself. That is why a login inside a file you send us is a problem we tell you about rather than one we use.

We ask you not to send personal data about the people you support, and the privacy notice says what to do instead.
